WhatsApp guest calls: send customers a link they can open

Use WhatsApp guest calls for short customer proof reviews, and email the file beforehand so you can spend the appointment settling specific changes.

WhatsApp guest calls: send customers a link they can open

A customer shouldn't need a password reset to approve the lettering on a shop window.

Picture a sign maker in Franklin, ready to review two proofs while the customer hunts for a meeting login. I would rather spend those minutes checking whether the phone number has the right digits.

Meta announced WhatsApp guest calling on October 14, 2026. Customers join from a computer browser without an account; the host needs one. If you use WhatsApp for work, this is worth trying for a short customer review.

I haven't tested it with a Luminest client. I'd start with a rehearsal before offering it to someone waiting on an order.

How does a customer join a WhatsApp guest call?

Open WhatsApp's Calls tab, select plus and create a link. Your guest enters a name; you approve entry from the waiting room.

You could send this with a proof-review appointment:

"Tuesday, October 27, at 2 p.m. Eastern: open this link on your computer. We'll spend 15 minutes reviewing window-lettering proof B, which I've attached. If you have trouble joining, call the number below."

Use a real link and your working number before sending it. Check that you attached proof B, too.

WhatsApp introduced browser calling in July 2026, including screen sharing. You can use that larger view to discuss a file together. In the October guest feature, visitors can't send messages, so email the documents before the appointment.

Which customer conversations suit a video review?

For that Franklin sign maker, I would choose one proof and two questions: Is the wording right? Is the placement right? Share the drawing with its dimensions visible. Ask the customer to read the phone number aloud, then send the agreed version for written approval before cutting vinyl.

You still need a physical sample if the customer must approve an exact color. Their laptop screen and your workshop monitor may show different shades. Use the call to discuss wording and placement, then arrange an in-person color check if the job needs one.

An independent tutor in Brownsburg could use a short call with an adult learner to review a practice worksheet. Email the sheet beforehand and ask the learner to mark the two questions they struggled with. You can spend the session explaining those steps instead of watching them search their inbox.

For either business, record the next action before you hang up. The sign customer needs to approve a named file. The learner needs to know which exercise to attempt before the next lesson.

Before you ask a customer to join a video call, send the file and tell them which decision you need to make.

Website reviews need an extra step. Fernie explains why you should review a website draft on your own phone, even after a comfortable desktop preview. You can discuss the design together and still test it on the device customers carry.

Should you change your booking process?

Keep your current meeting tool if customers join it without trouble. I'd consider this option when you already use WhatsApp and often invite people who don't.

Start with one appointment. Ask a colleague to follow your invitation from a separate computer. Check the sound and the shared file's readability, then try the fallback phone number. Give yourself a way to finish the conversation if the browser setup fails.

Meta has promised Google and Outlook calendar integrations for later in 2026. For now, plan around sending the link yourself.

Also check the step before the invitation. Submit your own website inquiry form and confirm that you receive it. Destiny walks you through a contact-form delivery check. A customer who never hears back won't reach your new meeting link.

If you're comparing website services, ask who will check the inquiry email and appointment instructions with you before launch. Include that work in the scope if you handle bookings between jobs.

For your next proof review, put the version name in the appointment title. You'll both know which drawing to open.
